Review Receipts And Export Receipt Data
Learn how to use the Admin Platform receipts page to search payments, filter receipts, open receipt details, review payment breakdowns, and download receipt data as CSV.
This guide explains how to use the Receipts page in the Admin Platform.
Use it when you want to:
- search for a specific receipt
- filter receipts by status or payment method
- review customer and payment details
- open a receipt detail dialog
- review item and revenue breakdowns
- open a Stripe-hosted receipt
- preview or download PromptPay files
- download receipt data as CSV
Open The Receipts Page
To open the receipts page:
- Go to Finance > Invoices.
The page itself is labeled Receipts and gives you a record-based view of learner payments.
Understand The Receipts Page
At the top of the page, OpenMirai shows:
- the Receipts title
- a Download button
- a search box
- a filter area
Below that, OpenMirai shows a receipts table.
Use this page when you want to review payment records one by one or export receipt data for reporting.
Search Receipts
Use the search box to find a receipt by receipt number, learner details, customer details, or related text.
This is useful when:
- you already know which payment record you need
- you want to reopen one receipt quickly
- the list is too large to scan manually
Filter Receipts
Open the filter area when you want to narrow the list by receipt status.
Available status filters include:
- Draft
- Open
- Paid
- Void
- Uncollectible
Use status filtering when you want to focus only on completed receipts, unresolved records, or receipts that are no longer valid.
Filter By Payment Method
In the table header, OpenMirai also lets you filter the list by payment method.
Available methods can include:
- Stripe
- PromptPay
- Free
Use this filter when you want to separate online card-based payments from PromptPay payments or free transactions.
Sort The Receipt Table
The table lets you sort by:
- Receipt Number
- Date
Use sorting when you want to:
- find the newest receipts first
- locate older receipts
- scan records in a more predictable order
Understand The Receipts Table
The receipts table can show:
- receipt number
- customer name and email
- total amount
- purchased items
- payment method
- receipt status
- payment date
Some rows may show an official receipt number. If a formal number is not available, OpenMirai can show a shorter fallback ID instead.
Open A Receipt
Select a row to open the receipt detail dialog.
Use the detail dialog when you want to inspect the payment more closely without leaving the page.
Review The Receipt Summary
The receipt detail dialog includes a summary section with details such as:
- customer email
- learner name, when linked
- payment method
- receipt number
- payment date
Use this section when you need a quick confirmation of who paid, how they paid, and which receipt you are looking at.
Review Receipt Items
The detail dialog also shows the items included in the receipt.
If a receipt contains many items, OpenMirai can collapse the list and let you expand it to see more.
Use this section when you need to confirm what was purchased.
Review The Pricing Breakdown
Below the item list, OpenMirai shows a pricing breakdown that can include:
- subtotal
- discount, when a discount exists
- total
- gross sale
- payment processing fees
- net revenue
Use this section when you need to understand how the final payment amount and net revenue were calculated.
Open Stripe Receipt Details
If the receipt was paid through Stripe, the detail dialog can show a button to open more details in Stripe.
Use this when you need to confirm hosted invoice information directly in Stripe.
OpenMirai opens that page in a new browser tab.
Review PromptPay Files
If the receipt was paid through PromptPay, the detail dialog can show:
- a button to download the slip file
- a button to download the receipt file
- a preview of the slip image, when available
Use this when you need to verify proof of payment or keep a copy of the payment files.
Download Receipt Data As CSV
Use the Download button at the top of the page when you want to export receipt data.
OpenMirai opens a download dialog where you can control what is included in the CSV file.
Choose The Date Range For Export
In the export dialog, you can choose a date range preset such as:
- Current filters
- Custom
- Today
- Yesterday
- This week
- This month
- Last 7 days
- Last 30 days
- This year
If you choose Custom, OpenMirai lets you pick a date range from the calendar.
If you choose Current filters, OpenMirai uses the current page date range if one is already active. If no date filter is active, the export runs without a date limit.
Choose Which Receipt Items To Export
The export dialog also lets you choose which item types to include.
Available options include:
- Courses
- Bundles
- Products
- Other / Subscription
Use these checkboxes when you want the CSV to focus on only certain kinds of purchased items.
Start The Export
After choosing the date range and item types:
- Review your selections.
- Select Download.
The export action is unavailable if:
- no item types are selected
- the custom date range is incomplete
Understand Export Processing
While the CSV is being prepared:
- OpenMirai shows a processing message
- the dialog close button is hidden
- cancel and close actions are disabled
If the export fails, OpenMirai shows an error message in the dialog so you can try again.
If Your Plan Restricts The Feature
On some plans, OpenMirai can show an upgrade prompt before you can use receipt-related payment features.
If that happens, follow the upgrade link shown on the page to review your billing and usage options.
If No Receipts Are Found
If the page shows no results, one of these is usually true:
- no receipts have been created yet
- your search does not match any records
- your filters are too narrow
Try clearing the search or removing filters to broaden the results.
